FAQ for Posting the Doctoral Dissertation on the Internet

  For supporting the student who is conferred doctor's degree, Nagasaki University Library make the following FAQ. Please read them and if you have any question, please contact to the Academic Contents, Nagasaki University Library.

Q1. For posting my doctoral thesis on the internet, may I upload it on my personal website?

A1. You must post your doctoral thesis on university repository in principle. If you upload it on your personal website, it is not permitted as posting on the internet.

Posting on the internet means you must post your doctoral thesis on "Nagasaki University's Academic Output SITE:NAOSITE".

Q2. What is the careful point for posting my doctoral dissertation on repository?

A2. All works hold the copyright. You have to pay attention that you encroach on the other's copyright or not. And you have to pay attention in the case your article's copyright had been transferred to the publisher when you had submitted on journal.

Q3. Do you have any problems with copyright for posting repository?

A3. If the author hold copyright of the article, posting on repository means that the author exercise the reproduction rights and the public transmission rights by themselves.
 And if the publisher hold copyright and allow to post your article on repository as the author's right, the author exercise the author's right.
In the case of you can share the article under the Creative Commons License, you can post on repository.
 We have no problems under the permission of copyright holder like these cases.
Library carries out "Author's right" under the permission of the author.

Q4. I want to confirm the copyright of my doctoral dissertation. What shall I do?

A4-1. In the case your doctoral dissertation is the journal article
 When you submitted your article to the journal publisher, you have the case you transferred copyright to publisher. When you want to post the journal article as your doctoral dissertation, you have to confirm the copyright which you can post your article on repository. You have the way to check at the journal webpage and “Copyright transfer Agreement” or ask to the journal editor when you can’t confirm it.

A4-2. In the case you rewrite your journal articles as the thesis format
 If your journal article had already been transferred copyright to publisher, you have a fear of copyright infringement using a part of journal article text, figure or table.
 When you rewrite your journal articles as the thesis format, you have to check the copyright you can reuse your journal article in doctoral dissertation and you can post it on repository or not.
Please check at the journal webpage, or ask to the journal editor when you can’t confirm it.

A4-3.  In the case you can't confirm the copyright
 If you can't confirm the copyright of your journal article, please send the mail to Academic Contents, Nagasaki University Library libcon@ml.nagasaki-u.ac.jp with following data (if you know them).

・Author names
・Article title
・Journal name, volume, issue No. and Pages
・Article URL or DOI

  Library will confirm the copyright and send the result by E-mail.

Q5.  What is the “Author Pre-print”, “Author Accepted file” and “Publisher's PDF”?

A5-1. Author Pre-print
“Author Pre-print” is the author created files(text, figures and tables) , and have not be reviewed by referee yet. It means the files you have just submitted to academic journal at first. It is not permitted as the doctoral dissertation file. If the publisher allow to post pre-print file only, you cannot post it on repository.

A5-2. Author Accepted file
 “Author Accepted file” is the author created files(text, figures and tables) , and have accepted by publisher after be reviewed many times by referee. It means your Word, Excel, PowerPoint, JPEG files. It is permitted as the doctoral dissertation file. But some publisher need a length of time (embargo period) to post this on repository.
 When you send the files to Graduate Student Affairs Division, please send your all files that you have accepted by publisher.

A5-3. Publisher’s PDF
 Publisher's PDF is the final recorded version in journal, it have journal headline including journal title, volume and issue No., pages and copyright. Although you can download it from journal website, you have the case you cannot use it for repository.

Q6. What cases are the unavoidable circumstances?

A6. There are following cases as unavoidable circumstances.

【Unavoidable Circumstances】
a.
It is impossible physically to post on the Internet, because of three-dimensional shape et al.
b.
You might give disadvantage to the person under the study by posting on the Internet due to containing "personal information" or "private information".
c.
You might be disadvantaged by posting on the Internet, because the thesis has already published in a book, or has the plan for publishing.
d.
You might be disadvantaged by posting on the Internet, because the thesis
has already published in an academic journal, or has the plan.
e.
The thesis hold "others' copyrighted work" or had already published in a book
or an academic journal, the copyright holder refuses to post on the Internet.
f.
You might be disadvantaged by post on the Internet, because the thesis has
already applied for a patent or has the plan.

 And there are more cases. If you can't figure out whether you have the unavoidable circumstances or not, please ask your doctoral adviser.

Q7. I quoted the photo-copy of newspaper in my doctoral dissertation, Can I post it on repository?

A7. By copyright Law Article 32, you can reprint the other’s copyrighted works in your doctoral dissertation by fulfilled the following all conditions.

【Conditions that is accepted for “quotation”】
a.
Quotations are from a work that is already made public.
b.
Their extent does not exceed that justified by purposes such as news reporting, criticism or research.
c.
The master-subordinate relationship between quotations and other phrases is fair.
d.
Quotations are clearly distinguishable by quotation marks.
e.
It is necessary for your thesis to quote.
f.
The cited reference is specified.

 Although you think these are “justified quotation”, there are the case that the copyright holder think them “reprint” or ask you to pay the fee for quotation. And there is the case that the works had already run out the copyright and are public domain now, the owner of them ask you to get the permission about posting on the internet (e.g. the figurative art).
 If you quoted the other’s work or reprint, please ask permission to copyright holder that you want to quote or reprint his/her work in your doctoral dissertation, and you will upload it on the internet.

 In the case that copyright holder ask you pay the copyright fee or don’t allow to post on repository, this case will be “the unavoidable circumstances”. Please ask your doctoral adviser.

Q8. If I have “the unavoidable circumstances”, what shall I do?

A8. If you have “the unavoidable circumstances”, you need the university president approval. Please entry and submit “Request for approval of not (or withholding) posting the whole doctoral thesis on the Internet” to Graduate Student Affairs Division
 After you get the approval, you can post the summary file on repository instead of the whole doctoral dissertation file. But when the reason has extinguished, you have to post the whole doctoral dissertation file.

 And Nagasaki University and National Diet Library must be show the whole doctoral dissertation file for library user reading (the Article 9, paragraph (2) of the Degree Regulation Ordinance). Please send the printable doctoral dissertation file to Graduate Student Affairs Division.
 If you post the summary file on repository, we have to send your doctoral dissertation file to National Diet Library, but Education Support Division will send the file instead of us. You have nothing to do about it.

Q9. What is “the confirmation of copying of the doctoral dissertation”?

A9. If the library user reads your doctoral dissertation and he/she needs the copy of whole pages, library can copy whole pages under the author's agreement (the article 31 of Japanese copyright low).
 We have to confirm your will to copy whole pages of the doctoral dissertation before you graduate university, so that we need the confirmation from the author who posted summary file on repository.
 In the case you choose “Not copy whole pages of the doctoral dissertation”, the library never copy whole pages of your doctoral dissertation. But according to the article 31 of Japanese copyright low, if we get an offer to copy for research investigative study, we have to copy half pages of your doctoral dissertation for research investigative study.
 And in the case you choose “In each time, I verify the using purpose of the doctoral dissertation and allow to copy whole pages of the doctoral dissertation or not.”, we will send you E-mail to verify your will, allow to whole pages copy or not.
 Please entry and submit the conformation to library, after you consider these cases.

Q10. What is the “PDF/A”? What should I do?

A10. You need the distill soft like “Adobe Acrobat” for PDF/A format. If you can't distill the author accepted file (e.g. Word・Excel・PowerPoint), please send these files to “Graduate Students Affairs Division”. After get these file, we will distill to PDF/A format at Library.

 When we get the PDF/A format file, we will post the file just as it. Please check the character corruption or missing, the number of figure, table and page.

※What is PDF/A
National Diet Library recommend to use “PDF/A (ISO 19005)” as electronic file format. Please do not refer external fonts from outside for long-term storage and accessibility. External font should be embedded in file. But in the case we cannot distill your doctoral dissertation in PDF/A, we distill the normal PDF and post on repository.

Q11. I want to post “Keywords” on repository, will you?

A11. Yes, we can post not only article file but also “Keywords, abstract, Japanese author name and Japanese title”. Please ask Library.

Q12. I have the plan to submit the article including contents of the doctoral dissertation to academic journal. What shall I do for posting on repository?

A12. There are many academic journals have be written “your article has not yet made public.” in the contribution rule. After you have posted the doctoral dissertation on repository, the publisher will consider your article has made public. We recommend to post the doctoral dissertation on repository after your article had been submitted and published. Please ask for your doctoral adviser and Graduate Student Affairs Division.

Q13. Can I post after I revised or added on my doctoral dissertation?

A13. Nagasaki University don't allow to post the corrected doctoral dissertation. You must post the doctoral dissertation which you submitted at the doctoral dissertation committee.

Q14.  Can I upload my private information (e.g. address or phone number) for getting user’s opinion?

A14. Library refuses to upload your private information. If we get the inquiry about your doctoral dissertation, we will contact to you. We never show your private information to the user. We ask for your kind understanding and cooperation for privacy protection.

Q15. Why you need E-mail address for posting on repository?

A15. Before Library will post the doctoral dissertation on repository, we confirm the files and copyrights. If your files are not in order, we have to contact to you for reconfirmation.
 And we post your E-mail address on repository, too. Posting your E-mail, we send the usage statistics mail on the 1st of every month, and you can confirm the usage situation of your doctoral dissertation. After log-in on NAOSITE by your E-mail, you can see the detail statistics.
 And after your doctoral dissertation had been posted, if Library get the inquiry or the request for quotation about it, we will contact to you. Consequently we need your E-mail address. Please get the E-mail address, we can contact you after graduate and return your country (e.g. G-Mail, Yahoo! Mail or Hotmail).
